Photography & Video: What Event Planners Ask Most

Corporate event planners often have similar questions when it comes to photography and video coverage — from what’s included to how quickly they’ll receive their media.

This page answers those questions clearly and directly, helping planners understand how professional photo and video services support their event goals and brand image. Whether you’re organizing a conference, gala, or product launch, these insights will help you plan with confidence.

If you have a question we haven’t covered here, please feel free to contact us. We’re always happy to answer and add it to our list.

Event planners want clarity, reliability, and predictable results. These are the questions they ask most often — along with the answers that give them confidence when choosing a photography and video team.

1. Can we see examples of your work from similar events?

Why they ask: They want to see consistency across an entire event, not just highlight reels.

Answer: We showcase a wide range of photo and video examples on our website, and the lower section of this page includes numerous links to additional event photography and video resources. Those links lead to samples of both photos and videos, along with general event information that many planners find helpful. While we don’t provide full client galleries or complete event videos for privacy reasons, we’re happy to share additional samples upon request. If you’d like to see a broader selection of images than what’s online, we can provide curated sets that reflect events similar in size, style, and lighting to yours.

2. Who will be shooting our event?

Why they ask: They want accountability and no surprises.

Answer: You’ll have a dedicated lead photographer/videographer, plus additional crew as needed, all coordinated through a single point of contact.  One Team, One Solution!

3. Do you offer a photo booth or portrait station?

Why they ask: “Photo booth” can mean different things. Some planners mean the traditional enclosed booth that prints strips. Others mean a simple step‑and‑repeat setup where guests can have a professional photo taken.

Answer: We do not offer the traditional enclosed photo booth that prints small photo strips. Those can be rented as drop‑off units and picked up at the end of the night if that’s what you prefer.

What we do offer is a professional portrait station — a small, polished setup with a backdrop or step‑and‑repeat, studio lighting, and an actual photographer. This produces much higher‑quality images than a standard booth. Guests can scan a QR code to instantly access and download their photos from our server.

4. Can you set up an area for on‑camera interviews at our event?

Answer: Yes — we can set up a dedicated video interview area at your event. A professional setup with proper lighting, audio, and a clean backdrop where guests or team members can be interviewed either by one of our staff or by someone from your organization. We handle the filming and technical setup, and you’ll receive the edited interview clips after the event.

As part of our one "One Team, One Solution",  we offer integrated photo and video coverage, including highlight films, interviews, social‑media clips, and on‑site editing.

5. Do you have liability insurance?

Why they ask: Most venues require it.

Answer: Yes — We carry full liability insurance and can provide a certificate for your venue.

6. What’s your backup plan if something goes wrong?

Why they ask: Corporate events can’t be reshot.

Answer: The what if scenario has always been our biggest concern. We bring backup cameras, lenses, audio gear, lighting, and have backup personnel available if needed.

7. How quickly will we receive the photos and videos?

Why they ask: Many events need photos or video clips immediately for press releases, social media, internal communications, or same‑day recap content.

Answer: We can provide images and video clips as quickly as you need them. If your event requires same‑day delivery, we can bring on‑site editors who process photos and short video segments while the event is happening. This is considered expedited delivery and is available upon request.

For standard delivery, event photos are first reviewed and adjusted for color, exposure, and alignment before being uploaded to our server, where they are typically available for download within 48 hours. Video turnaround depends on the amount of editing required and the number of revisions, but we’ll discuss your timeline in advance to make sure it meets your needs. When required, we have delivered both finished videos and photos during the event itself.

8. What is your style — candid, editorial, documentary?

Why they ask: They want alignment with their brand tone.

Answer: Our style blends candid storytelling with clean, professional editorial coverage, tailored to your brand’s personality.

9. Can we request specific shots or must‑have moments?

Why they ask: They need sponsor visibility, leadership coverage, signage, and key moments captured.

Answer: Absolutely — We work from a detailed shot list and coordinate with your team to ensure all VIPs, branding elements, and scheduled moments are covered.

10. Have you worked events like ours before?

Why they ask: Experience reduces risk.

Answer: Absolutely. We’ve covered large‑scale corporate events, conventions, and conferences for organizations such as the Chicago Blackhawks and the Chicago Cubs, as well as major industry gatherings like NeoCon at the Merchandise Mart. Our team regularly works in venues including McCormick Place, the Stephens Convention Center in Rosemont, the Schaumburg Convention Center, and many other locations throughout Chicago and across the country. We’re fully comfortable managing fast‑paced schedules, complex lighting environments, and high‑visibility corporate expectations.

11. How will I receive my photos and videos?

Why they ask: They want to know how easy it will be to access and download their files after the event.

Answer: We deliver everything through our own secure photo server. You’ll receive a private link where you can view your images, download individual files, or download the entire gallery as a  ZIP file. It’s fast, simple, and designed to make accessing your photos as easy as possible. Video files are delivered the same way, with download options based on the format and resolution you need.

12. What’s included in your pricing?

Why they ask: They want transparency and no hidden fees.

Answer: All pricing is outlined clearly in advance based on the specific services your event requires. Some clients need full photo and video coverage with editing included, while others prefer to receive raw video files for their in‑house team to edit. We structure our proposals so you only pay for what you need — whether that’s coverage only, editing, on‑site editors, additional shooters, travel, or specialty services. Everything included in your project is itemized in the initial agreement, so there are no surprises and no hidden fees.
